For the purpose of the General Data Protection Regulation and the Data Protection Act 2018 the data controllers are Teresa Hughes and Rheinallt Hughes, proprietors of Min y Don, 20 North Parade, Llandudno, LL30 2LP. The data processor is Queensborough Group and sub-processors providing services in connection with the operation of our online booking system which are HotelHost company and Rackspace. QBook is accessed by a secure password, known only by us, not shared with anybody else. Queensborough Group has its own privacy statement which can be viewed via . Neither we nor our data processors will share your information with any third party unless there is a legal reason to do so.
When you make a booking with us, you are entering into a contract with us. We collect and use the information which you provide to us.
When you make a reservation, you are asked for your name and email address. We may also ask for your home address, telephone number, payment information, the names of any guests travelling with you and any preferences you might have for your stay. These may include accessibility or dietary requirements and any other special requests you may have.
If you need to get in touch with us, we may also collect information from you.
What we do with the information we gather
We require this information to process your booking, understand your needs and provide you with a better service.
We use your home address as part of the card payment processing to validate the card.
We will use your email address to send you confirmation of the booking and our terms and conditions.
If you have made an online booking and have made a special request, we may contact you via email or telephone to ensure we can meet your needs.
If you have not given us an arrival time, or have requested a time that we cannot accommodate, we will either call or email you to advise you of this.
After your stay you will receive an automatic email from our booking system offering you the option of reviewing your stay.
We may contact you via a periodic newsletter. Permission to do this is obtained when you give your e-mail address and there is a link to unsubscribe on the newsletter. During the online booking process a tick box to opt in is provided.
We will not otherwise use your telephone number to contact you unless it for an emergency and/or we have been unable to contact you by email.
We are required by law to collect the following information on all our guests. We do this by asking you to complete a registration form on arrival.
For commonwealth guests: Name and nationality
For non-commonwealth guests: Name, nationality, passport number, address of next destination
We will ask you to confirm that you agree to us holding your data in accordance with GDPR 2018.
We will keep these forms safely in an electronic format. We are required by Law to keep these registration forms for a year and show them to a police officer or other authorised persons if they request to see them. We will destroy these electronic records 12 months after your stay.
Cookies are not used to collect any information from visitors to our website.
Anonymous statistics are collected purely for statistical information and visitors to our websites cannot be identified from this. Third party holiday providers you book with pass on your information (always name, sometimes address, phone number).
Security of your Data
We take all the necessary precautions to protect any data we hold from any unauthourised access. We run a regular security scan on our system updating when required and are PCI compliant.
Third Party Disclosure
We will never pass any personal information on to any third party without your consent. The only exception is where we are requested by the Police or other authorised personnel to provide the information in confidence.
CCTV is used in public areas on the premises for the purpose of crime prevention. Put simply, we use these cameras for the security of our home, ourselves, our animals and our guests and their property. Images may be made available to the Police if so requested. The data is recorded securely and retained of a maximum period of 30 days. The only people to have access to this data are B&B owners, Teresa and Rheinallt Hughes. The data can only be accessed via screen in our office which is kept locked always, and the screen is password protected.
